Job-specific English

English for Virtual Assistants

A Virtual Assistant supports a client from another place — usually by email, calendar, documents, and short messages. Clear English helps you understand the request and reply with confidence.

The job

What is a Virtual Assistant?

A Virtual Assistant is a remote support role. The client may be a founder, a small business, or a busy professional. You usually work from another city or country and communicate in writing first. The work is close to administrative assistance, but the relationship is often one client at a time and the tools live online.

People also search for remote assistant, work from home admin, and Virtual Assistant jobs. Those titles overlap. Some roles are freelance. Some are part of a team. This page explains the common English and responsibilities, not one employer’s contract.

What does a Virtual Assistant do?

Most Virtual Assistants keep someone else’s day moving. That can mean reading incoming requests, updating a calendar, preparing a document, or sending a follow-up. The English skill is not fancy vocabulary. It is accuracy: the right time, the right file, and a reply the client can trust.

Virtual Assistant responsibilities change by client. One person may want inbox support only. Another may want research, meeting notes, and a weekly tracker. Do not claim you already do every task. Say what you have done and what you can learn.

Typical Virtual Assistant tasks

These are common examples. A real job may use only some of them.

  • Email

Sort an inbox, draft a reply, or send a short update the client can act on.

  • Calendar

Check availability, add an appointment, and keep the schedule accurate.

  • Scheduling

Offer times, confirm a meeting, and send or update an invitation.

  • Data entry

Type names, dates, and notes into a list or spreadsheet without guessing.

  • Online research

Find a few reliable options and summarize them in plain English.

  • Documents

Save, name, and share files so the client can find the latest version.

  • Client follow-ups

Send a polite reminder when a reply, file, or payment is still open.

  • Meeting coordination

Prepare a link, agenda, or attendee list before the call starts.

  • Task tracking

Keep a simple list of what is done, what is next, and what is blocked.

  • Remote communication

Write clearly when you cannot meet in the same room or time zone.

Tools and workflows

Employers do not all require the same commercial product. Learn the category, then learn the client’s setup.

  • Email

Most Virtual Assistant work still moves through inbox threads. You need to find the request, reply in a professional tone, and keep attachments labeled.

  • Calendars

Scheduling is often the first test of accuracy: the right date, the right time zone, and the right people on the invite.

  • Spreadsheets

Lists, trackers, and simple reports usually live in a table. You do not need advanced formulas to start, but you do need clear column names and careful typing.

  • Video meetings

Many clients use video calls for check-ins. A Virtual Assistant may send the link, take notes, or join to confirm the next steps.

  • Task and project systems

Some clients keep work in a shared board or task list. Others use email only. Learn the client’s system instead of assuming one commercial tool.

  • Cloud documents

Shared folders and online documents are common. The English skill is naming the file, saying where it is, and confirming which version is final.

English for Virtual Assistants

Virtual Assistant English is client communication: instructions, confirmations, email tone, chat updates, deadlines, scheduling, and time zones. Stage 1 later practices this with listening, vocabulary, grammar, sprint, and quiz. The phrases below are website examples, not paid lesson text.

  • Understanding client instructions

Read the whole message before you start. Name the task, the file, and the deadline in your own words.

  • Asking for clarification

A short question is better than a wrong file. “Just to confirm, do you want the list updated today or tomorrow?” is enough.

  • Confirming tasks

Repeat the plan so both people agree: what you will do, when you will finish, and where you will send it.

  • Professional email tone

Be polite and direct. One clear subject line and a short body usually work better than a long apology.

  • Short chat messages

In Slack, WhatsApp, or similar tools, write the update first. Extra context can come after the action.

  • Status updates

Say what is done, what is still open, and whether you are waiting on the client.

  • Deadlines

Name the day and time. If you need more time, say so before the deadline, not after.

  • Scheduling and meetings

Offer two or three times, include the time zone, and confirm when the invite is sent.

  • Polite requests

“Could you send the latest file?” is clearer than a hint. Polite does not mean vague.

  • Remote and time-zone communication

Write the client’s time zone when you propose a call. Do not assume “morning” means the same hour for both of you.

English challenges for ESL learners

Remote work rewards clear, short messages. These are practical difficulties for people using English as a second language at work — not comments about any nationality.

  • Polite without sounding stiff

“Please find attached” is fine. You do not need very formal legal English for everyday client work.

  • Direct versus indirect requests

Some clients say “Can we move this?” when they mean “Please move this today.” Check the deadline if the wording is soft.

  • Concise business messages

One idea per sentence helps. Long explanations can hide the action the client needs.

  • Phrasal verbs

Clients often say follow up, hold off, wrap up, or look into. Learn the ones that appear in email and chat.

  • Workplace abbreviations

EOD, ETA, FYI, and ASAP show up in remote work. If an abbreviation is new, ask once and write it down.

  • Different accents

Listening practice helps more than guessing. On a call, it is professional to ask someone to repeat a name or number.

  • Unclear instructions

If two parts of the message disagree, stop and ask. Starting the wrong task costs more time than one clarifying question.

  • Dates and time zones

Write the month as a word when you can: 3 September, not 3/9. Add PST, EST, GMT, or the city name.

  • Spelling names and emails

Read the address back in the confirmation. One wrong letter can send a file to the wrong person.

  • Confidence on client calls

Prepare three lines: who you are, what you finished, and what you need. Short prepared English is stronger than a long unplanned speech.
